Summary
Provides a range of administrative services and confidential support that assists with enhancing the quality of life for the CRHC residents. The position provides program support services to the tenant relations team.
Maintains confidential records, drafts documents and coordinates meetings. Supports tenants by coordinating with outside agencies and linking tenants to support services. This position regularly communicates, collaborates and coordinates with other staff to ensure a strong team culture.
Key Duties & Responsibilities
- Maintains records utilizing the CRHC's Property Management Software and SharePoint site ensuring confidentiality and cross-reference follow-up capabilities; follow proper information and record management policies, and support appropriate access to information, as required.
- Prepare, draft, edit and finalize confidential and non-confidential documents.
- Maintain and coordinate appointment calendars, as required.
- Schedules and coordinates meetings (internally and externally), prepares meeting agendas, takes notes, provides final reports and follows up with meeting participants if required.
- Extracts relevant materials and prepares files and documents for RTB Arbitration Hearings.
- Works with the Tenant Engagement Team to support administration and coordination of referrals to the appropriate community agencies.
- Supports tenants by coordinating with outside agencies and connecting tenants to support services.
- Supports with preserving tenancies by providing in-home support to tenants who are struggling.
- Drafts and coordinates the circulation of Tenant Notifications if required and as directed. May support with the on-site distribution of such notifications.
- Schedules and coordinates training workshops for other staff, and learning opportunities for tenants at times, as directed.
- Coordinates CRHC partnerships with Non-Profit Partners, internal/external stakeholders and agencies.
- Provides administrative support with the revision of policies and procedures that will enhance tenant services and property management operations.
- Follows all policies, procedures and standards of the CRD.
- Performs other related duties as required.

- Strong skills in crisis intervention, de-escalation and conflict resolution.
- Excellent communication (verbal and written), interpersonal and customer service skills.
- Strong MS Office 365 and SharePoint skills.
- Strong proficiency and experience using Adobe Professional software.
- Strong ability to deal with confidential and sensitive information with sound judgement, discretion and diplomacy.
- Understanding of tenant engagement principles an asset.
- Knowledge of the housing spectrum and the importance of housing as a social determinant of health.
- Strong understanding of and working knowledge with the Residential Tenancy Act and Regulations, policies and procedures related to social housing management.
- Strong ability to exercise tact, diplomacy and professional conduct to influence and collaborate and build consensus with stakeholders at various levels.
- Strong ability to prepare, process and check a variety of reports, documents and correspondence related to the position.
- Strong ability to establish and maintain effective and collaborative working relationships.
- Strong organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
Qualifications
- Diploma in a related discipline
- A minimum of 3 years' directly related experience
- An equivalent combination of education and experience
Certifications
- Acceptable criminal record check. The applicant/incumbent is required to undergo a criminal record check to work in this position and to report to their supervisor if any criminal charges are laid against them that may be related to their employment.
- Valid BC Driver's Licence
