Summary

This position assists with providing purchasing functions. This includes assisting with the procurement of goods and services, research of products/services, as well as data and reporting. This position also supports the warehouse operations and facility at Infrastructure and Water Services including storing, issuing and maintaining a variety of construction and maintenance supplies, materials, and equipment.

Key Duties & Responsibilities

  • Assists with performing routine tasks associated with the procurement process, this includes ensuring the accuracy of information, requirements and specifications.
  • Provides information to internal clients specific to CRD purchasing policies and procedures.
  • Assists with the preparation of routine tender documents, requests for proposals, requests for quotations and expressions of interests; recurring items are reviewed after completion.
  • Performs routine research of products/services.
  • Prepares purchase orders by verifying specifications and price as well as obtaining internal approvals.
  • Receives and processes requisitions, reviews quantity, specifications, and delivery requirements; prepares specifications and quotes which are reviewed upon completion.
  • Performs monthly reconciliation of Purchasing Card accounts.
  • Utilizes the purchasing and inventory management system to perform internal audits and reporting, including costing and allocations, project costing and charges, inventory stock and vendor statuses.
  • Provides routine reporting related to purchasing and inventory management data and records.
  • Serves as a liaison between internal clients and vendors.
  • Assists with purchasing records management, material set-up and file maintenance, including maintaining information on order statuses.
  • Liaises with internal stakeholders in resolving invoicing related problems.
  • Assists in periodic and/or annual inventory counts and reconciliation to general ledger.
  • Provides daily assistance to the Warehouse Coordinator as required.
  • Issues, receives, inspects, stores and loads/unloads materials and supplies.
  • Maintains inventory materials in warehouse and storage yard facilities in a neat and tidy manner.
  • Performs general housekeeping and maintenance within the warehouse and storage yard facilities.
  • Operates forklift as required.
  • Follows all policies, procedures and standards of the CRD.
  • Performs other related duties as required.

Key Skills & Abilities

  • Excellent communication (verbal and written), interpersonal and customer service skills.
  • Strong ability to work effectively in a team environment and individually with minimal supervision.
  • Strong organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
  • Strong accurate keyboarding and data entry skills.
  • Strong attention to detail with a commitment to data accuracy and integrity.
  • Strong ability to work with established policies and procedures.
  • Considerable experience using a computerized inventory and materials management system.
  • Strong ability to provide timely and clear information to internal clients and suppliers.
  • Strong MS Word, Excel, PowerPoint and Outlook and SharePoint skills.
  • Strong ability to follow oral and written instructions with minimal direction and deal with constantly fluctuating levels of work.
  • Basic knowledge of construction equipment, supplies and inventories.
  • Strong ability to perform a variety of manual tasks, including heavy lifting.
  • Strong ability to operate a variety of equipment found in a warehouse and maintenance yard, including the ability to safely operate a forklift.

Qualifications

  • Certificate in a related discipline
  • A minimum of 1 year directly related experience

Certifications

  • Lift Truck Operator Certification
  • Occupational First Aid Level 2 Certification
  • Valid BC Driver's Licence
