Summary

This position contributes to the overall success of the IT Project Management Office (PMO) by providing support for project coordination, portfolio tracking, and administration of project management tools and systems. This position plays a critical role in promoting consistent project practices and supporting the effective delivery of strategic initiatives across the organization.

Key Duties & Responsibilities

Tool Support and System Administration

  • Provide day-to-day support and troubleshooting for project tools which may include Teams, Planner, SharePoint, Lists, Forms, and Excel
  • Support the configuration and maintenance of project tracking tools using Power Apps and Power Automate
  • Sets up and maintains user access, permissions, and SharePoint site content related to project documentation and collaboration spaces
  • Collaborate with internal stakeholders to develop and improve workflows that support approvals, status updates, and notifications
  • Provide testing and feedback related to system updates, minor configurations, and coordination with TDT or vendor teams where required

Data Management and Reporting

  • Maintain data integrity across project tracking systems and ensure regular updates are reflected in reports and dashboards
  • Support the creation and maintenance of project and portfolio dashboards using Power BI or Excel
  • Assist with the collection, analysis, and reporting of key performance indicators (KPIs) and other metrics
  • Identify opportunities to enhance data visualization, automate reporting processes, and improve usability for stakeholders 

Project Coordination 

  • Provide coordination and logistical support to project managers and project teams, including scheduling meetings, preparing agendas, and documenting action items and decisions
  • Support project tracking and reporting by maintaining up-to-date records of key deliverables, risks, issues, and milestones
  • Assist with the development and maintenance of standardized templates, logs, and process documentation
  • Support project intake and prioritization activities in alignment with PMO governance processes
  • Monitor project compliance with established PMO practices, tools, and frameworks

Key Skills & Abilities

  • Considerable experience working in a large and complex Information Technology department
  • Thorough knowledge and operational experience utilizing project management software and tools
  • Demonstrated proficiency in Microsoft 365 tools including Teams, SharePoint, Planner, Lists, Forms, and Excel
  • Experience with Power Platform tools such as Power Apps, Power Automate, and Power BI at a user or configuration level
  • Strong organizational skills and attention to detail, 
  • Excellent interpersonal and written communication skills with experience supporting multidisciplinary teams
  • Experience with project governance processes and portfolio reporting
  • Knowledge of project management methodologies (e.g., PMBOK, Agile, or hybrid approaches)
  • Familiarity with change management, service delivery improvement, or digital transformation initiatives
  • Experience in SharePoint site administration or Power Platform solution development considered an asset

Qualifications

  • Degree in a related discipline
  • A minimum of 3 years' directly related experience
