Position Purpose

This position is responsible for the functional configuration, implementation, maintenance, and related support services for the Human Resources Information System (HRIS). This position supports system enhancements by conducting testing and audits, creating and delivering end user training, and preparing SOPs for new and existing functionalities in collaboration with People, Safety and Culture Team, technical teams. It also develops standard and ad hoc HR reports and analytics using HR system to provide insights that support organizational decision-making and strategic HR initiatives. 

The system specialist is the primary HRIS contact and is responsible for HR system data integrity, reporting requirements and organizational management. Provides expertise in human resource information management as the HRIS administrator, ensures activities and process of HR administration are aligned to corporate requirements, and provides advice and support to team members.

Key Accountabilities/Position Outcomes

  • Administers the cloud-based SAP SuccessFactors Talent Management suite including Recruit to Hire, Onboarding 2.0 and Employee Central. 
  • Serves as the primary contact for HRIS issues.
  • Troubleshoots and resolves issues by researching process and configuration flaws; identifying gaps, risks, and dependencies; performing root cause analyses; and recommending solutions or alternatives. Coordinates with the manager to prioritize issues and escalates to technical team as appropriate.
  •  Manages all HR master data in compliance with organizational standards and guidelines.
  • Ensures the integrity of the organizational structure, maintains the organizational management module including Job Profile Builder.
  • Evaluates and tests HRIS upgrades, patches and fixes provided by the technical team and the software vendor. Participates in periodic patch testing for Enterprise Resource Planning (ERP) system.
  • Create and maintains formal documentation related to system configuration, reporting and cross-functional processes. Regularly communicates system changes and updates to users and other stakeholders.
  • Monitors and protects integrity of HRIS data by conducting regular data audits.
  • Develops system reports and responds to a variety of information requests to address internal needs and to comply with legislative requirements.
  • Plans and conducts research, analysis and development of Key Performance Indicators and tracks HR metrics (turnover, utilization, recruitment cycle, etc.).
  • Reviews, analyzes and recommends improvements to current processes and projects, promoting technological solutions to increase productivity and efficiency.
  • Supports the development of and implements metrics to measure program effectiveness.
  • Develops and delivers training or information sessions as needed. Mentors and motivates staff engaged in employee records, benefits and HR systems related duties.
  • Updates and maintains information on the HR internal intranet site, by providing and refreshing content.
  • Other duties as required.

  • Degree in a related discipline
  • A minimum of 5 years' directly related experience
  • An equivalent combination of education and experience

Role Specific Knowledge, Skills, and Abilities

  • Thorough knowledge of HCM (Human Capital Management) systems, preferably SAP SuccessFactors. 
  • Experience in reviewing systems and processes from the end user perspective and recommending changes that align with corporate requirements.
  • Possesses knowledge of the human resources function, including organizational management and collective agreement administration. Demonstrates a strong commitment to continuous learning and staying current with key trends. 
  • Strong technical skills or aptitude, including knowledge of data management principles, data analysis and reporting tools.
  • Business process design, redesign and documentation experience.
  • Demonstrated experience in business analysis and data modeling.
  • Excellent communication (verbal and written), customer service and collaboration skills.
  • Advanced skills in Microsoft 365 applications, including Excel, Word, PowerPoint, and SharePoint.
  • Experience in gathering, synthesizing, evaluating and interpreting information.
  • Strong analytical, research, problem solving, conceptual and interpersonal skills.
  • Self-motivated with the ability to work independently, organize workload and set priorities while also being able to work within a cross functional team.
  • Excellent understanding of and demonstrated ability to maintain confidentiality protect personal information.
  • Must have strong attention to detail ensuring accuracy in a fast paced, deadline-oriented environment.
  • Ability to assist internal clients and stakeholders on a wide variety of issues.
  • Ability to develop and deliver training or information sessions as required.
