Summary

This position is responsible for CRD, CRHC and CRHD disbursements (EFT and cheques) and supports the Purchasing Card program administration. This position also provides financial administrative support services includes cash desk responsibilities for Financial Services. 

Key Duties & Responsibilities

  • Prepares and processes weekly payment runs, including electronic funds transfers (EFT) and cheque disbursements.
  • Follows established policies and ensures appropriate authorizations and internal controls are adhered to when processing payments.
  • Compiles payment source documents with payments to record transactions.
  • Monitors the AP and PCard inboxes and triages inquiries, ensuring timely and appropriate responses or escalation.
  • Performs daily reconciliation of cheque, credit card and cash receipts, prepares transaction detail reports, and ensures timely and accurate bank deposits.
  • Tracks incoming donations and prepares donation receipts.
  • Maintains vendor master data (vendor creation and ongoing maintenance).
  • Supports administration of the PCard program by monitoring compliance with monthly deadlines, sending reminders, and responding to cardholder inquiries.
  • Monitors inventory of blank CRD, CRHC, CRHD and US cheques and orders when necessary.
  • Investigates and responds to Accounts Payable (AP) inquiries from staff and auditors, providing timely and accurate information.
  • Provides general clerical services by maintaining records system.
  • Maintains basic knowledge of CRD programs, key department contracts, function of departments, other associated government agencies.
  • Follows all policies, procedures and standards of the CRD.
  • Performs other related duties as required.

Key Skills & Abilities

  • Excellent communication (verbal and written), interpersonal and customer service skills.
  • Strong accurate keyboarding and data entry skills.
  • Strong ability to process payments including cash, cheques, credit/debit card transactions.
  • Substantial experience and proven ability to follow processing guidelines and adhere to strict timelines for processing transactions
  • Strong ability to work independently in a fast paced and constantly changing environment.
  • Strong attention to detail with a commitment to data accuracy and integrity.
  • Proficiency and experience with word processing (MS Word), spreadsheets (MS Excel) and presentation (MS PowerPoint) software.

Qualifications

  • A minimum of 2 years' directly related experience
  • High School Graduation
  • Post-secondary courses in a related discipline
  • An equivalent combination of education and experience

Certifications

  • Valid BC Driver's Licence
