Summary

This position acts as primary receptionist/cashier/information services clerk for the Capital Region Housing Corporation and performs a variety of tenant services and clerical tasks.

Key Duties & Responsibilities

  • Acts as the primary receptionist and cashier for the Corporation.
  • Accepts and enters all payments in SAP and issues receipts for cash and/or cheque and debit payments, as requested.
  • Receives all incoming calls; answers routine enquiries and routes/directs calls to appropriate staff member; directs routine maintenance calls and emergency call to administrative or caretaking staff.
  • Prepares and submits daily bank deposits.
  • Provides housing information to the public; explains the functions, rules, regulations and policies governing the operation of the Housing Corporation; deals tactfully with the public.
  • Assists applicants in completing the necessary forms; explains housing availability and refers applicants to other agencies, where appropriate.
  • Reviews applications for completeness and forwards to BC Housing Registry.
  • Processes incoming and outgoing (courier and registered) mail.
  • Develops and updates fillable forms for the corporation.
  • Codes and processes invoices for payment including verifying invoices for purchases, taxes and PO reference.
  • Maintains purchase order book logbook and liaises with staff on outstanding POs and invoices.
  • Maintains petty cash fund.
  • Assists with the preparation of maintenance arbitration evidence packages.
  • Coordinates changes to telephone messaging system, fax and photocopy repairs and maintenance.
  • Coordinates with caretakers on move-out charges.
  • Provides clerical support to works control on chargeback system including invoicing and collections.
  • Follows all policies, procedures and standards of the CRD.
  • Performs other related duties, as required.

Key Skills & Abilities

  • Excellent communication (verbal and written), interpersonal and customer service skills.
  • Strong MS Word, Excel, PowerPoint and Outlook and SharePoint skills.
  • Considerable experience with and understanding of Enterprise Resource Planning (ERP) systems such as SAP.
  • Strong accurate keyboarding and data entry skills.
  • Strong ability to operate various types of office equipment.
  • Considerable experience handling, balancing, recording and depositing cash; to complete accurate reconciliation and calculations with accuracy and speed.
  • Strong ability to act independently, make decisions within clearly established policy guidelines.
  • Strong ability to effectively represent the Housing Corporation in a courteous and responsible manner.
  • General experience with and understanding of social housing or other non-profit social services.
  • Strong organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
  • Strong ability to take rental payments and other cash transactions, issue receipts, and prepare deposits clearly and accurately.
  • Strong ability to work effectively in a team environment and individually with minimal supervision.

Qualifications

  • Certificate in a related discipline
  • A minimum of 2 years' directly related experience
  • An equivalent combination of education and experience

Certifications

  • Valid BC Driver's Licence
