Summary
This position provides reception, clerical and administrative support relating to the day-to-day operations of the Building Inspection office and may be assigned to work at other locations subject to operations requirements.
Key Duties & Responsibilities
- Provides reception support and responds to general inquiries pertaining to building permits and permit application procedures.
- Provides direction, guidance and training to auxiliary clerical staff as required.
- Provides administrative and clerical services.
- Provides cashier services and prepares bank deposits as required.
- Prepares reports and correspondence in support of building inspection services.
- Records correspondence and documentation relating to building permit applications, pending files and property files.
- Enters permit information into building permit database.
- Processes building permit applications in preparation for building inspectors.
- Inputs building inspection worksheets into database and notifies applicants of permit fees.
- Coordinates filing system and time sensitive information related to inspections and work projects to ensure compliance with bylaw timelines.
- Receives and records permit fees and issues receipts for monies received.
- Contacts property owners who have expired building permits or building violations and assists them to obtain compliance, as required.
- Acts as the point of contact for building violations files.
- Compiles documentation for registering notices on land title and provides information for the preparation of staff reports.
- Prepares month end statistical reports, updates inventory of building permits and completed files.
- Acts as SharePoint Champion and assists in the ongoing development of the building Inspection SharePoint site, the building permit database and the department's external webpages.
- Prepares files for microfilming.
- Operates various office equipment, digital camera and related software, microfiche.
- Follows all policies, procedures and standards of the CRD.
- Performs other related duties as required.

- Excellent communication (verbal and written), interpersonal and customer service skills.
- Strong accurate keyboarding and data entry skills.
- Thorough knowledge of grammar, spelling and proper formats and styles for business correspondence and proof reading and editing skills.
- Thorough knowledge of office operations, administrative processes and systems.
- Strong ability to operate various types of office equipment.
- Strong MS Word, Excel, PowerPoint and Outlook and SharePoint skills.
- Strong proficiency and experience using property database software such as Tempest.
- Strong organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
- Strong ability to deal with the public with professionalism, tact and diplomacy.
- Considerable experience in managing a bookkeeping system to record bank deposits and petty cash activities.
- Strong ability to deal with the public with professionalism, tact and diplomacy.
- Basic ability to understand and interpret various building bylaws related to the CRD.
- Working knowledge and experience with BC Land Title System and Land Title Act or similar, and procedures for research and retrieval/examination of available data/information.
- Strong ability to take initiative, use independent judgement and show discretion.
- Strong organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
- Strong ability to establish and maintain effective and collaborative working relationships.
Qualifications
- Certificate in a related discipline
- A minimum of 2 years' directly related experience
- An equivalent combination of education and experience
Certifications
- Valid BC Driver's Licence
