Summary

This position assists with the daily administrative activities related to Salt Spring Island (SSI) Parks and Recreation including providing clerical, reception and facility booking services.

Key Duties & Responsibilities

  • Provides reception services, directing enquiries and providing general information about SSI service area, parks and trails, recreation programs, park permits as well as CRD information and bylaws.
  • Provides clerical support which may include the formatting and editing of correspondence, reports, records, publications, agendas, forms, data entry, filing and cataloguing, sorting and distributing incoming mail and electronic mail.
  • Assists with facility bookings including finalizing booking contracts and processing payments.
  • Communicates booking setup instructions to facility maintenance staff and prepares weekly booking calendar.
  • Coordinates with staff on processing park permits including contacting users to provide information and clarification.
  • Accepts payments for park revenues and issues receipts accordingly.
  • Orders office supplies and maintains office supply inventory.
  • Assists in processing expenditure requests and invoices.
  • Assists in reconciling cheques, cash and credit card transactions and prepares bank deposits.
  • Follows all policies, procedures and standards of the CRD.
  • Performs other related duties as required.

Key Skills & Abilities

  • Excellent communication (verbal and written), interpersonal and customer service skills.
  • Strong MS Word, Excel, PowerPoint and Outlook and SharePoint skills.
  • Strong proficiency and experience with registration and booking software, PerfectMind preferred.
  • Thorough knowledge of office operations, administrative processes and systems.
  • Expert ability to respond professionally to queries in person, over the phone and via email.
  • Strong ability to establish and maintain effective and collaborative working relationships.
  • Strong ability to work effectively in a team environment and individually with minimal supervision.
  • Excellent organizational skills, including the ability to work under pressure, prioritize work and to set and meet deadlines.
  • Considerable switchboard operation experience.

Qualifications

  • Post-secondary courses in a related discipline
  • A minimum of 1 year directly related experience

Certifications

  • Standard First Aid and CPR-C
